HVAC Marketing: How to Keep Your Schedule Full in the Slow Season

HVAC is a feast-or-famine business. In the peak of summer and winter the phones will not stop, and in the shoulder seasons technicians can end up with open hours. Marketing is how you smooth that out. The goal is not just more calls, but steadier calls at the right times.

Plan around the calendar, not around panic

Most HVAC calls come from breakdowns, and breakdowns follow the weather. That means you cannot create demand on a cool April day the way you can on a 100-degree August afternoon. What you can do is shift when and why customers contact you.

Build a simple yearly calendar:

  • Late winter and early spring: air conditioner tune-ups before the first heat wave
  • Late summer and early fall: heating system checks before the first cold snap
  • Year-round: maintenance plans, indoor air quality, thermostat upgrades, duct work, and system replacement quotes

Run your marketing a few weeks ahead of each season, when homeowners are thinking about it but not yet in an emergency.

Make maintenance plans your anchor offer

A maintenance plan gives customers a reason to call before something breaks and gives you predictable work. Promote it everywhere: on your website, in your ads, in your invoices, and on your trucks. Keep the offer simple, say exactly what is included, and make signing up easy online or by phone.

Use Google Ads for emergencies and for planned work

Search ads capture people who need help now: "AC not cooling," "furnace not working," "HVAC repair near me." Keep those campaigns separate from planned-work campaigns such as tune-ups and replacements, because the budgets and messages differ. Our pay-per-click advertising page explains how we structure that.

Add negative keywords for terms that bring the wrong traffic, such as DIY repair, parts, and job listings. Set ad schedules that match when your team can actually answer.

Do not lose calls you already paid for

During peak weeks, the biggest marketing leak in HVAC is the missed call. Every unanswered call is a customer who calls the next company on the list. Consider:

  • A clear after-hours plan, so emergency calls reach someone
  • Call tracking, so you know which ads produce calls
  • An AI voice assistant to answer, qualify, and book when everyone is busy

You can estimate the cost of missed calls with our free Missed Call Revenue Calculator.

Use social and email to stay top of mind

Homeowners do not think about their HVAC until it fails. Facebook and Instagram ads and a simple email or text reminder list keep your name in front of past customers. Send seasonal reminders, maintenance plan offers, and tips on what to check. Past customers are your cheapest source of new work.

Reviews and your Google Business Profile

In a category where people choose in a hurry, trust is decisive. Ask for a review after every completed job, reply to all of them, and keep your Business Profile current with service areas, hours, and photos of your team and trucks.

Measure by booked jobs, not clicks

Ask for reporting that shows calls, booked appointments, and cost per booked job, split by repair, tune-up, and replacement. A tune-up lead and a system replacement lead have very different values, and your marketing should be judged on each.

Frequently asked questions

Start a few weeks before the season changes. For many HVAC companies that means spring for cooling checks and late summer for heating checks.

Use discounts carefully. Bundled offers such as a maintenance plan or a free inspection with a repair protect your margin better than a blanket price cut.

They can be a strong fit for lead volume because they target local search and charge per lead. Availability and rules change, so check Google's current requirements for your area.
